Who looks after your information
Larksong Studios, operated by Eileen Estes, is responsible for the personal information collected through this website. For privacy questions or requests, email eileen@larksongstudios.com.
Information you share with us
Enquiries: the contact form collects your name, email address, subject and message so the studio can respond and arrange services. Please avoid including sensitive personal information in messages.
Lesson gifts: we collect the purchaser’s name, email and mailing address, the recipient’s name and email, an optional age for recipients under 18, musical interests, lesson package and any requests you choose to provide. We use these details to connect the payment with the gift, notify the studio and arrange lessons. If you provide someone else’s details, please make sure you have permission to share them and make this notice available to them when appropriate.
Students: registration and student login are provided by My Music Staff. Information entered there is handled through that service to administer lessons, accounts and scheduling. Parents or guardians should arrange registration and gifts for children and supervise the information shared with the studio. Contact us if you believe a child has supplied information without appropriate permission.
Technical information: hosting and service providers may process IP addresses, request times, browser information and error logs to deliver and secure the website. Our form protection uses a keyed hash of the requesting IP address to limit repeated submissions; this is separate from optional analytics.
Why we use it
We use information to answer requests, arrange and deliver lessons and gifts, maintain necessary business records, and protect the website against abuse. Where UK or European data protection law applies, the relevant grounds are steps requested before a contract and performance of a contract; legitimate interests in responding to enquiries, administering services and keeping the site secure; legal obligations for required records; and consent for optional analytics. You can withdraw analytics consent at any time through Cookie settings.
Services that receive information
Information is available to Eileen and studio administrators who need it to handle your request. The website’s hosting and email providers process information to run the site and deliver messages. We also use:
- Stripe, for secure hosted payments. Card details are entered on Stripe’s checkout and do not pass through this website’s gift form. See Stripe’s privacy policy.
- My Music Staff, for student registration, login and lesson administration. See My Music Staff’s privacy policy.
- Google Analytics, only after you accept analytics cookies, to measure website use. Advertising personalisation and Google signals are disabled in this website’s analytics configuration. See Google’s privacy policy.
- YouTube, when you choose to play an embedded video, as explained below.
Fonts load from Google Fonts and the site’s interface library loads from jsDelivr. Those requests disclose technical connection information, including your IP address, to their providers; they do not require you to accept analytics. See Google’s privacy policy and jsDelivr’s privacy policy.
These providers may process information in countries outside your own, including the United States, under their applicable privacy terms and transfer arrangements. We do not sell the enquiry or gift details you submit through this website.
How long information is kept
Gift form records on the website become eligible for removal after seven days if unpaid and 30 days if paid. Cleanup runs when subsequent gifts are submitted, so removal is not guaranteed at the exact expiry time. Notification emails, lesson administration records, payment records and backups are separate from these temporary website records.
Enquiries and administrative records are kept for as long as needed to respond, provide services, resolve issues and meet applicable accounting or legal requirements. Provider records follow the relevant provider’s retention arrangements. Contact the studio to ask about the records held about you or request deletion where applicable.
Cookies and your choices
The site works without optional analytics. A small notice lets you accept or reject Google Analytics cookies; neither choice affects enquiries, student access or gift purchases. Choosing “Later” dismisses the notice without granting consent. Ignoring it also leaves analytics off.
We store your accept or reject choice in your browser’s local storage under larksong-cookie-choice-v1 for six months (183 days). This stores your analytics preference, a version and its expiry time. It is used only to remember your choice. If browser storage is blocked or cleared, you may be asked again.
If you accept, Google Analytics can use _ga and _ga_* cookies to distinguish visits and measure activity, including pages viewed, device/browser information and approximate location. Google’s default cookie lifetime can be up to two years. We do not send the contents of your contact or gift form to Analytics.
Use Cookie settings in the footer at any time to change your choice. Rejecting after accepting stops further analytics collection by this site and removes accessible Google Analytics cookies for this domain. It does not erase information already received by Google. You can also clear cookies and site storage in your browser.
Student login, registration and Stripe checkout may use storage needed to provide services you request, such as authentication or fraud prevention. Their providers explain their use in their own privacy notices. Rejecting analytics here does not disable those services.
Video privacy
Video previews use images stored on this website. A YouTube player is loaded only when you choose to play a video. By pressing play, you allow YouTube to load that video and use cookies or device storage for playback. We use YouTube’s privacy-enhanced embed domain, but playing still connects your browser to Google/YouTube. You can leave videos unplayed and continue to use the rest of the site. Your choices and rights
Depending on the law that applies to you, you may have rights to access, correct or delete your information, restrict or object to processing, receive a portable copy, and withdraw consent. Some records must be retained for legal or contractual reasons. Email eileen@larksongstudios.com to make a request; we may need to verify your identity. You may also raise a concern with the data protection authority where you live, where applicable.
